This Privacy Policy explains how ALITAX ("we", "us", "our") collects, uses, stores, discloses and protects your personal information. ALITAX is operated by Bilal Jivraj, a Registered Tax Agent (Tax Agent Number 25287564, ABN 29 010 453 421) based in Australia. We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using our website (alitax.com.au and its subdomains) or our services, you consent to the collection and use of your information as described in this policy.

1. Information We Collect

To provide tax agent, Departing Australia Superannuation Payment (DASP) and related services, we may collect:

  • Identity information: full name, date of birth, passport details, visa details and Tax File Number (TFN).
  • Contact information: email address, phone number, WhatsApp number and postal address.
  • Financial and superannuation information: superannuation fund details, bank account details, income and tax information necessary to lodge claims and returns.
  • Website usage information: IP address, browser type, pages visited and similar analytics data collected through cookies and tracking technologies (such as Google Analytics and Google Tag Manager).

2. How We Collect Information

We collect information directly from you when you complete a form on our website, contact us by phone, email or WhatsApp, or engage us as your tax agent. We may also collect information from the Australian Taxation Office (ATO) and superannuation funds where you have authorised us to act on your behalf, and automatically through cookies when you browse our website.

3. How We Use Your Information

We use your personal information to:

  • Prepare and lodge DASP claims, tax returns and other ATO documents on your behalf;
  • Trace and verify your superannuation accounts;
  • Communicate with you about your claim, our services and your enquiries;
  • Provide a quote and process payment for our services;
  • Meet our legal, regulatory and professional obligations as a registered tax agent;
  • Improve our website and services.

4. Disclosure of Your Information

We may disclose your information to:

  • The Australian Taxation Office (ATO) and relevant superannuation funds, as required to process your claim or return;
  • Third-party service providers who assist us in operating our business (such as secure document storage, payment processors and IT providers), under strict confidentiality;
  • Government bodies, regulators or law enforcement where required or authorised by law.

We do not sell your personal information to third parties.

5. Overseas Disclosure

As many of our clients reside outside Australia, your information may be handled while you are overseas. Some of our service providers (for example, cloud storage or analytics providers) may store data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled securely and in accordance with this policy.

6. Data Security

We take the security of your personal information seriously and apply a range of measures to protect it from misuse, loss, unauthorised access, modification or disclosure, including:

  • Two-factor authentication (2FA): access to our systems is protected by two-factor authentication to prevent unauthorised access.
  • Internal storage only: we store your sensitive documents and information within our own secure internal storage. We do not store your sensitive personal information in third-party software or external platforms.
  • Minimised email exposure: where forms or documents are received by email, we transfer the information to our secure internal storage and then permanently delete the email, typically within two days of receipt, to reduce the time your information is held in email systems.
  • TFN protection: Tax File Numbers submitted through our forms are partially masked in email notifications (for example, displayed as 254 *** ***) so that your full TFN is not exposed in transit, helping to protect your identity.
  • Restricted access: access to your information is limited to authorised personnel who need it to provide our services.

Despite these measures, no method of transmission over the internet or electronic storage is completely secure, and while we strive to protect your personal information, we cannot guarantee absolute security.

Record-keeping note: As a Registered Tax Agent, ALITAX is required under the obligations administered by the Tax Practitioners Board (TPB) and the Australian Taxation Office (ATO) to retain certain client records, including the information and documents supporting any claim or return we prepare, for the period required by law (generally five years). Accordingly, while we minimise the retention of information in email and other transient systems, we securely retain the records we are legally required to keep within our internal storage for the required retention period, after which they are securely destroyed or de-identified. This retention obligation operates alongside, and where required overrides, the deletion practices described above.

7. Cookies and Analytics

Our website uses cookies and similar technologies, including Google Analytics and Google Tag Manager, to understand how visitors use our site and to measure the performance of our advertising. These tools may collect information such as your IP address, device and browsing behaviour. You can disable cookies through your browser settings, although some features of the site may not function properly as a result. We retain your personal information only for as long as necessary to provide our services and to meet our legal and professional record-keeping obligations as a Registered Tax Agent. We minimise the information held in email and other transient systems (see Section 6), transferring required information to our secure internal storage and deleting the source email. The records we are legally required to keep are retained securely for the period required under TPB and ATO obligations (generally five years), after which they are securely destroyed or de-identified.
